This is your handbook. Everything you need to know about running your business through your RevStack platform — searchable, on your phone or computer, available anytime.
You don't need to read this cover to cover. It's here when you have a question.
What this handbook is¶
A practical guide to the system that runs every lead, every conversation, every appointment, every job. Three kinds of content:
- Daily ops — how your team uses the system every day (5 minutes max per shift to stay on top of things)
- Growth playbooks — when you're ready, here's how to fire reactivation campaigns and run ads yourself
- Reference — pipeline stages, what each AI does, what the system handles vs. what you handle, troubleshooting
If you want a quick answer, use the search bar at the top of every page. Type "tag a contact" or "reschedule appointment" or "review request" and it finds what you need.
Day 1 — Your first 30 minutes¶
Brand new to the system? Do these in order. Should take 30 minutes, end-to-end.
1. Get logged in (5 min)¶
You'll receive an email from Darek with your login credentials. When it arrives:
- Open the email
- Click the login link
- Set your password (something memorable but not "password123")
- Confirm your name and phone number are correct
If you didn't get the email, check spam or ask Darek.
2. Install the mobile app (5 min)¶
Most of your daily work happens on your phone.
- Open your App Store (iPhone) or Play Store (Android)
- Search for LeadConnector — that's our mobile app
- Install it
- Log in with the same credentials from Step 1
- When asked, turn on notifications — this is how you'll know when a new lead comes in
- Pin the app to your home screen
3. Take the 5-minute tour (5 min)¶
Open the app and tap each of these in order. Just to see what's there:
- Dashboard — your daily overview
- Conversations — every message that comes in
- Appointments — your calendar
- Opportunities — your sales pipeline
- Contacts — every customer and lead
You don't need to do anything in any of these yet. Just look.
4. Watch one short video (5 min)¶
A 2-minute video walkthrough of the mobile app lives here once we wire it in.
5. Read the "Daily Routine" page (10 min)¶
Head to Daily Operations — this is the page you'll refer back to most. Read it once today.
The two most important rules¶
Just two. Everything else is detail.
Rule 1: Move opportunities through the pipeline stages as they change.
When you have a conversation with a lead, move them from "New Lead" to "Qualified." When you book an appointment, move them to "Estimate Scheduled." When they sign, move them to "Won."
A clean pipeline means the system can do its job — fire the right emails at the right time, generate accurate reports, surface what needs attention.
Rule 2: When in doubt, reply to the customer like a human first.
The AI handles a lot. But if a conversation feels off — a customer is upset, a question is unusual, something feels weird — take it over. The AI is your assistant, not your replacement.
You can take any conversation back from the AI just by typing a reply.
How this handbook is organized¶

What's automated (so you don't have to think about it)¶
The system handles all of this on its own:
- Welcome email to every new lead (within minutes)
- Appointment confirmation when one is booked
- Appointment reminder the day before
- Follow-up if a customer doesn't show
- Review request after a completed job
- Long-term nurture for "not now" leads
- Social media posts (Sara approves)
- Reading every chat and SMS that comes in, answering common questions, escalating the rest
You'll see all of this happening in real time once it's turned on. You don't need to memorize it. The AI Employees page explains what each AI does.
What if I'm stuck?¶
A few options, in order of fastest:
- Use the search bar at the top of this handbook. Type what you're trying to do.
- Check the Cheat Sheet for one-click links to common tasks.

You're not on your own with this. If anything in here doesn't match how you want to work, tell us — the system bends to your workflow, not the other way around.

The system is set up to handle the boring repeatable stuff — the emails, the reminders, the review asks, the follow-ups that fall through the cracks at most contractors — so you can focus on what matters: showing up for customers, doing the work well, and keeping Dynamic Group's reputation strong.
